How It Works

1. Set Your Base Currency

Your base currency determines how all values are displayed throughout the platform. To set:
  1. Navigate to Settings → Organization
  2. Find Base Currency field
  3. Select your preferred currency (e.g., EUR, USD, DKK)
  4. Click Save Changes
Set this once during initial setup. All valuations, reports, and benchmarks will use this currency.

2. Automatic Conversion

When you encounter values in different currencies, the system automatically converts:

Example 1: CPM Benchmarks

Stored Data:
  • Platform: Instagram
  • Country: United States
  • CPM: $75.00 USD (original currency)
Your Organization:
  • Base Currency: EUR
Result:
  • Displayed CPM: €70.09 EUR
  • Exchange Rate: 1 USD = 0.934 EUR
  • Calculation: $75.00 * 0.934 = €70.09
Original values are preserved in the database. Conversion happens on-the-fly when displaying data.

Example 2: Sponsorship Deal

Sponsor:
  • Based in: United States
  • Contract Value: $50,000 USD
Your Organization:
  • Base Currency: DKK
Result:
  • Displayed Value: 345,750 DKK
  • Exchange Rate: 1 USD = 6.915 DKK
  • Calculation: $50,000 * 6.915 = 345,750 DKK

Exchange Rate Updates

How Often?

  • Frequency: Daily updates from ExchangeRate-API.com
  • Cache Duration: 1 hour (rates don’t change minute-to-minute)
  • Base Currency: EUR (all rates relative to Euro)

Viewing Current Rates

Exchange rates are used automatically, but you can see them in:
  1. CPM Benchmark Tooltips: Hover over suggested values
  2. Valuation Forms: Helper text shows conversion details
  3. Developer Console: API responses include rate metadata

Currency Display Formats

Number Formatting

Values are formatted according to your organization’s number format setting: EU Format (default):
  • Thousand separator: . (period)
  • Decimal separator: , (comma)
  • Example: €1.234.567,89
US Format:
  • Thousand separator: , (comma)
  • Decimal separator: . (period)
  • Example: $1,234,567.89

Currency Symbol Placement

  • EUR (€): €1,234.56 (symbol before amount)
  • **USD ():)**: 1,234.56 (symbol before amount)
  • DKK (kr): 1,234.56 kr (symbol after amount)
  • GBP (£): £1,234.56 (symbol before amount)
  • SEK (kr): 1,234.56 kr (symbol after amount)
  • NOK (kr): 1,234.56 kr (symbol after amount)

Where Conversion Happens

1. CPM Benchmarks

Stored in database:
  • Original currency (USD, EUR, or DKK)
  • Original value
Displayed to you:
  • Your base currency
  • Converted value
  • Note: “Based on Denmark market data (converted from $75.00 USD)”
Example:
Instagram Followers CPM

Exchange rate: 1 USD = 0.934 EUR

2. Valuations

When creating/viewing valuations:
  • Social Media CPM: Converted from benchmark source currency
  • Sponsorship Values: Entered in any supported currency
  • Total Value: Sum calculated in your base currency

3. Reports & Analytics

  • Charts: All values in your base currency for consistency
  • Comparisons: Accurate across different periods/currencies
  • Exports (PDF): Include converted values with original currency noted

4. Sponsorships Module

  • Deal Values: Enter in any currency, displayed in your base currency
  • Package Pricing: Consistent currency across all items
  • Invoice Generation: Can specify currency per invoice

Advanced Features

Multi-Currency Sponsorship Deals

For organizations with international sponsors:
  1. Record Original Currency: Note sponsor’s native currency in deal notes
  2. Track Exchange Rate: Document rate at contract signing
  3. Monitor Fluctuations: Review quarterly if long-term contracts
Example Scenario:
Sponsor: Nike (US-based)
Contract: $100,000 USD per year (3-year deal)
Signed: January 2025
Exchange Rate: 1 USD = 6.90 DKK

Year 1 (2025): 690,000 DKK (at 6.90 rate)
Year 2 (2026): 705,000 DKK (if rate changes to 7.05)
Year 3 (2027): 695,000 DKK (if rate changes to 6.95)
Currency Risk: Long-term contracts in foreign currency expose you to exchange rate fluctuations. Consider fixed-rate clauses or local currency contracts for major deals.

Historical Rate Context

When viewing old valuations, the system shows:
  • Created Date: When valuation was made
  • Exchange Rate: Rate used at that time
  • Current Value: What it would be worth today
  • Delta: Difference due to rate changes

Valuation from June 2024
Original CPM: $75.00 USD
Converted (June 2024): €68.50 (rate: 1.095)
Current Value (Feb 2025): €70.09 (rate: 1.070)
Change: +€1.59 (+2.3%) due to EUR strengthening

Troubleshooting

”Currency conversion unavailable”

Cause: Exchange rate API temporarily unavailable Solution:
  1. Wait a few minutes and refresh
  2. System uses cached rates (up to 1 hour old)
  3. If persistent, contact support

Values don’t match expected conversion

Check:
  1. ✅ Your organization’s base currency setting
  2. ✅ Today’s exchange rate (fluctuates daily)
  3. ✅ Whether value is historical (uses old rate)
  4. ✅ Rounding differences (values rounded to 2 decimals)

Different currency than expected

Likely Causes:
  1. Organization base currency changed
  2. Viewing someone else’s organization
  3. Browser cached old settings
Fix: Log out and log back in, or hard refresh (Ctrl+F5)

Exchange Rate API

Technical Details

Provider: ExchangeRate-API.com (free tier)
  • Base Currency: EUR
  • Update Frequency: Daily
  • API Limits: 1,500 requests/month (sufficient for normal use)
  • Coverage: 160+ currencies (we use 6 major ones)
Calculation Method:
amount_in_target_currency = amount_in_source_currency * (target_rate / source_rate)

Example:
$100 USD to DKK
= $100 * (7.45 DKK/EUR / 1.07 USD/EUR)
= $100 * 6.96
= 696 DKK
Why EUR base? Most exchange rate APIs use USD or EUR as base. We chose EUR as our default base currency since many European clubs and organizations use Valiyou.

Frequently Asked Questions

Currently, all input fields expect values in your base currency. However:
  • CPM benchmarks auto-convert from their source currency
  • You can note original currency in comments
  • Manual conversion tools coming in future update
  • New valuations use current rates automatically
  • Old valuations preserve the rate from when they were created
  • Reports show both historical and current values
  • Long-term contracts should include rate protection clauses
Yes, rates come from ExchangeRate-API.com which aggregates data from:
  • Central banks (ECB, Fed, etc.)
  • Major financial institutions
  • Commercial exchange rate providers
Rates are updated daily and reflect mid-market rates (not retail buy/sell rates).
Historical valuations show:
  • Date created
  • Exchange rate used at that time
  • Original and converted values
This allows you to track how currency fluctuations affected sponsorship values over time.
